Creating an employee
Click on the Employee tab.
Select the Time & Attendance button.
Click on the Employee Maintenance screen.
A new screen will appear.
Go into modify mode (Ctrl +M) and pressing F4 here will create a new employee.
The Employee Reference is what is used when the employee logs into Data capture. Often a scanner will be used but keep the reference short if it is to be typed in. It has to be unique but can be changed - see the ’Options’ section below.
’On Site’ shows whether the employee is currently on-site or not.
The name, address and other personal details can be added in the relevant areas.
A Fire Point number is required, which will be used with the Fire Roll Call option.
Departments and Teams will also need to be set up using F5 and then F4 to create or enter on the correct line.
If the user is set up as a Staff Member then they will be able to log onto data capture but will not be able to log onto Works Orders
The Supervisor is an optional choice that can be switched on with the DC_SUPERVISOR_BOOKING flag. It will allow a user set like that to be able to log other users onto jobs.
A photograph can also be added by clicking on the Add button.
Shift patterns
To set the shift patterns for the employee:
Press F5 in the shift pattern box (This can be done once the shift patterns and hence the Shift codes have been set up).
Once that is set, the Starting Shift Position can be set.
The modification of this is covered in the "Modifying the shift pattern" section.
Modifying the shift pattern
If modifying an existing user there is a ’Change Shift Pattern’ button.
Clicking on that provides the place to alter the shift pattern for the employee.
Press F5 on a line.
F5 on the "New Shift Pattern’’ to choose the new one (or choose the same one just to alter the shift position).
Then F5 on the shift position.

In this example of setting the shift pattern, the 17/08/14 is a Sunday, which would normally be the second OFF day in a week, but on the screenshot below it is showing as the 1st working day of the week, notice that the position is ’1’:
Using the up and down cursor keys, it can be moved until it is set up correctly, the position is ’7’, the second "OFF" day:
Job code - This is a way of setting different resource rates for different levels of employee. This is useful in Job Costing.
Press F5 on the line to be changed.
F5 in the "New Job Code" box.
Then select the relevant option.
Then it is changed from that date forwards:
If there is a change for the employee set up at a future date, the system does provide a warning.
Temporary Job card - a way of printing a temporary job card, if required, so that the employee can still log on if they have misplaced their usual one
Entitlements are the holiday entitlements, and this is where they can be viewed by clicking on the button.
Skills - is the link to the skills for that employee.
The Attachments button allows any documents to be added to the employee record.
F5 allows the attachment to be added.
Options
There is also the Options button. Under there are the following:
Employee Cards - The place to print the usual employee cards
Exit Cards - Cards to allow logging out of FactoryMaster
Temporary Cards - This is where the temporary cards can be printed
Change Employee
Enter the new reference and click OK.
Clicking Yes provides the following confirmation.
Show temporary card allocation - This lists the temporary cards and to whom they are assigned.
How to deal with employees leaving
When employees leave; all that is required is that the system start date is removed.
F3 on the employee that has left, and enter their leaving date.
Then the employee is removed from the list.
To see employees that have left, choose the option in the bottom right of the screen.
To reinstate them, press F3 on the relevant employee and remove the leaving date.
Then click on the Confirm button.
The employee has been reinstated.
