Setting up and applying shift absence codes

How to set up absence codes? How to apply both full and part shifts absence codes to employee timesheets?

To set up absence codes do the following:

  1. Go to the Employee tab

  2. Click on Time & Attendance Menu

  3. Choose T & A Options Menu

  4. Here you can either pick Full-Shift Absence Codes or Part-Shift Absence Codes

  5. Press Ctrl+M to go into modify mode.

  6. Press F4 to create a new code

  7. Give the code a 2 letter designation under the 'Code' column

  8. Tab across to the 'Description' column, and type in your description

  9. In the next four columns, choose from the drop down menus to match the code to your preferences.

Using the codes:

  1. Go to the Employee tab

  2. Click on Time and Attendance Menu

  3. Choose T & A Authorisation screen

  4. Using a mix of the radio buttons and F5, you can bring up the timesheets for a particular Employee, Team, Department or for All employees

  5. For each employee on the list, there will be an 'Absent all day' tick box. If ticked, this will require a Full Shift absence code be entered. You do this by pressing F5 on the red question marks.

  6. The Hours payable will reflect the reason code you have entered (Holiday etc.)

  7. If the employee and left early/ started late then you would enter the actual time clocked in and out for that employee. Next to the late start or early finish there will be more red question marks, here you would enter a Part Shift Absence Codes.

  8. As with the Full Shift absence codes, the Hours Payable will reflect the absence code you have chosen.

NOTE: Currently, the only way to book a part shift absence in the future is to create a new code in the full-shift section and mark it as partial-entitlement. It is very unlikely we would change this as it would require a complete re-write of how the T&A module works.
