Create a detailed sales order

How do I create Detailed (By Item) or Detailed (By Delivery Stage) sales order?

Please complete the following steps:

  1. Select Sales

  2. Sales Order Maintenance

  3. This will open a new window. Press F4

  4. Press F5 within customer code and select a valid customer from the list of customers. When the customer code is added, a lot of the fields get populated by the defaults.

  5. Click OK

  6. The next screen allows the entry of the Part Numbers, by clicking on the individual line.Stock UOM - The Unit of Measure for this stocked part, if it is set up.

  7. Clicking on the chevron produces the Intrastat details that can be set up if required.

  8. The Transaction Code is the Intrastat Code. These can be added by F5 and then F4

  9. Pressing F5 on the on the prices brings up the Contract Review.

  10. It is then possible to bring in the Prices from a sales price list, a quote or to manually type in the details.If the price is added after the call-offs have been set up then the "Apply to Call-Offs" button can be used to update them.

Call Offs

Back on the Sales Order screen, tabbing across into the Order Quantity field (or pressing F5 in this field) will go to the Call Offs screen where multiple call offs can be created, with different required by dates.

  1. Click on the Works Order Column (bottom left) and press F5

  2. Open the allocations screen (the same function as the "W/O Allocations" button at the bottom). It shows what WO’s are currently set up for that part.

  3. Click Suggest button to view a suggestion of where the system thinks the allocation could be made.

  4. In this case, the following is suggested and can be confirmed or cancelled.

  5. Create a works order (with auto-number): a new works order is set up and displayed in the ’Works Orders allocated to this call off-box’.

  6. Allocate to an existing works order: will allow the selection of an existing WO for that part.

  7. F5 on the Works Order (WO) box and it will present all the possible WO’s.

  8. Create a works order (with a manual number): The same as the ’Create a works order (with auto-number) option’ but the following screen is displayed to set the WO number. This can be useful because the Batch number is taken from the WO number, but each WO number has to be unique.

  9. Not allocating at present: Cancels and goes back to the original screen.

  10. Once a WO has been set up or the call-off assigned to one.

  11. And F5 on the WO number will go to that WO.

  12. And the stock can be allocated (if it wasn’t done at the WO goods on stage).

Stock Allocation

  1. Clicking Allocate Stock will then allocate stock to fulfil this Sales Order (SO)

  2. Press F5 on the required one will go to the Allocate stock screen where the WO that is specifically for this part has been highlighted in green and the quantity may be selected.

  3. On the next screen, click Next.
