Expiry Dates For Stocked Parts

How can I set expiry dates on stocked parts?

The Expiry date for stocked parts are set by following the steps below:

  1. Select Stock

  2. Stock Parts Menu

  3. Stocked Parts

  4. Go to the Warehouse tab at the top of the menu

  5. Press F5 in the 'Shelf Life Days' column


It is then possible to add the following dates:

  • Green date - the number of days before the expiry date that the product is okay to use.

  • Amber date - the number of days between green and red, where a supervisor would have to make a decision whether it can be used or not if a control flag is set*

  • Red date - the number of days before the expiry date where the product cannot be used.

As an example, think of a food item where the time from manufacture to it getting onto the supermarket shelf is 28 days.
If one of the components of that has a shelf life of 16 weeks then the Red date could be set to 28 days because if it is used within that date then it will not make it to the supermarket shelf within its expiry date.
The Green date could be set to 42 days because that gives plenty of time for the product to be used to make the food item. The Amber date could be between those two dates so that a supervisor can decide on a case by case basis whether it should be used or not.

​Note: when control flag SHELF_LIFE_ALLOW_AMBER is set to No, only full users can allocate stock when it is amber. If it is set to Yes, any user can allocate stock.
